Step 1: Choose Your Booking Layer
The booking tool is the hub. Four options are most commonly used in spiritual practice:
Trafft

Trafft explicitly markets to "mediums, energy healers, astrologers" and is the top-rated option in the spiritual services category. Features include calendar integration, payment processing (Stripe and PayPal), Zoom and Google Meet links auto-generated per appointment, Zapier connectivity, and built-in marketing tools.
For solo practitioners or small studios (under 5 practitioners), the free tier is a real free tier - not a crippled demo.
Acuity Scheduling
Price: $20/month (Starter), $34/month (Growing), $61/month (Powerhouse) No free plan.
Described as "the industry standard" for esoteric practitioners specifically, per multiple independent sources. The intake form builder is good enough to collect birth date, birth time, birth location, and the client's question before the session - meaning you walk in prepared. Session bundle sales (5-reading packages) and gift certificate flows are stronger here than in Calendly.
Calendly
Price: Free (1 event type); from $12/user/month paid
The most recognized name. Free plan works for solo practitioners with one service type. Per-seat pricing becomes expensive fast for multi-practitioner studios. Standard choice for practitioners already inside the Google or HubSpot ecosystem.
Simplybook.me
Price: Free (50 bookings/month); from $9.90/month
Best per-practitioner economics for studios with multiple readers. No per-seat fees - a studio with 10 readers pays the same flat monthly fee as a solo practitioner. UI is less polished than Calendly.
Cal.com
Price: Free (hosted); from $12/user/month for teams
Open-source, self-hostable. The free hosted tier includes payment collection, workflow automations, and unlimited event types. For EU-based practitioners with GDPR concerns, self-hosting is the cleanest option.
Step 2: Payment Before the Session
Collecting payment at booking eliminates no-shows more effectively than reminders. All the tools above integrate with Stripe or PayPal for upfront payment.

For most practitioners: Payhip for payment processing (explicitly allows psychic and tarot services) connected to your booking tool via Zapier if direct integration isn't available.
Step 3: Automated Reminders
Built-in reminders
Acuity and Trafft include reminder emails in their paid plans. No additional tool needed.
Zapier workflow (for Calendly or Cal.com)
Basic Zapier automation: Client books Calendly slot → Google Calendar event created → 24-hour email reminder sent automatically.
Zapier free tier handles this workflow. Paid tiers unlock more complex multi-step automations.
HoneyBook (full CRM approach)

Step 4: Post-Session Automation
The automated post-session email is the most underused piece of the workflow. A triggered email 2 hours after a session ends - "Here's a summary of what we covered, plus how to rebook" - drives repeat bookings more reliably than manual follow-up.
Acuity and HoneyBook handle this natively. Calendly requires Zapier to trigger a post-session email.
